ABOUT US
California Society of Association Executives (CalSAE) is a non-profit society with over 1,200 members, who are the working staff for other associations. Essentially we are the “association for associations” aka we are the leader for the association community in California and Oregon. CalSAE has a staff of 5, a board of 12, and over 150 year-round volunteers. CalSAE strives to promote the success of its members by keeping them inspired and connected to the association community through a variety of events, education offerings, and networking opportunities.
At CalSAE we value both the professional and personal needs of our employees. You'll receive the opportunity to attend professional development events such as conferences, education sessions, virtual seminars, etc. We work a weekly set hybrid schedule, with Monday, Tuesday, and Thursday in our Roseville office and Wednesday and Friday remote with flexibility as needed to attend to personal and family matters.
While each person on the team has clear responsibilities, much of what we do requires us to work closely and make decisions together or as small teams. Collaboration, dedication to members, and follow through are hallmarks of our work ethic.
PRIMARY DUTIES
Member Services
- Engage with members through phone and email, providing high-level assistance with tasks such as membership enrollment or renewal, account updates/setup/access, billing inquiries, event registration, and general questions.
- Responsible for the membership database (Novi AMS), ensuring accurate member records and generating membership and event reports.
- Lead the annual membership renewal process.
Event Support
- Manage online event registration including setup, tickets, capacity, refunds, promo codes, and addressing general inquiries.
- Prepare and pack onsite event materials needed such as name badges, signage, and supplies.
- Staff onsite registration/check-in/information desk for events such as ELEVATE Annual Conference (rotates locations within CA), Seasonal Spectacular Tradeshow (Sacramento), and regional events as needed mainly local to the Sacramento area.
Accounting
- Oversee accounts payable and receivable in coordination with our third-party accounting firm.
- Assist in the yearly budgeting process.
- Produce financial reports as needed.
Office Management
- Track and procure office supplies and oversee mail distribution.
- Act as the primary point of contact for external vendors including IT support, copy machine, etc.
- Serve as a liaison to office property management company.
- Support HR procedures such as on-boarding new employees, tracking vacation and sick leave, etc.
Other duties as assigned. This position also assists in collaborative efforts and projects throughout the organization as needed.
COMPENSATION AND BENEFITS
- This is an exempt full-time position, salary will be based on education and experience.

COMPETENCIES
- Proficiency in Microsoft Office Suite, MS Teams, Zoom.
- Experience with association management software (Novi AMS preferred) or a similar customer relationship management (CRM) database such as Salesforce, Netsuite, etc.
- Familiarity with QuickBooks or similar accounting systems is a plus (desirable but not required).
- Knowledge of Zapier is a plus.
REQUIREMENTS
- Three to five years minimum of professional experience. Employment with a membership-based association or society (or other non-profit organization) is preferred but not required.
- BA or BS degree preferred.
- Occasional travel within the state to attend statewide and selected regional events.
- Valid California Driver’s license and proof of driving insurance.
