Sleepy Hollow Lake (SHL) is a 2,200-acre residential community located 120 miles north of New York City and 30 miles south of Albany in New York’s beautiful and vibrant Hudson Valley. The centerpiece of the community is a 320-acre private lake, which provides extensive recreation opportunities, including boating, kayaking, paddleboarding, fishing, etc. Through its private amenities and natural surroundings, the community also offers pickleball, tennis, cycling, hiking, swimming (two pools), party venues, and more. Its proximity to the New York towns of Athens, Catskill, Coxsackie, and Hudson provides access to shopping, dining, music, and other entertainment.
The community is organized as a homeowners’ association -- The Sleepy Hollow Lake Association of Property Owners, or APO. The APO’s By-laws call for the establishment of a Board of directors, which governs residential land use, maintains common roads, parks, beaches, and amenities, operates private sewer and water services, maintains its dam, provides public safety support, and enforces APO rules. To fulfill these responsibilities the Board has created an Association Manager position. The person in this role is retiring after more than 25 years on the team, so the Board is actively recruiting a successor.
Position Overview
Reporting to the Board of Directors, the Association Manager leads all facets of APO operations, including staff management, Board process management, community engagement, vendor management, and budget development. The position operates within the policies and guidelines set forth by the Board of Directors, By-laws, Protective Covenants, and the New York State Not-for-Profit Corporation Law.
The APO has been successfully and professionally managed for many years, with particularly important improvements to operations and infrastructure implemented over the past five years. Going forward, the APO is seeking to build on these improvements, further upgrading infrastructure and improving the member experience, while exercising exceptional fiscal responsibility. To that end, the Board welcomes candidates with the experience, ideas, and mindset to challenge the status quo and help SHL achieve its goals.
Example Responsibilities:
The following are representative examples of duties performed by the SHL Association Manager:
Collaborate with the Board of Directors to determine management priorities; Provide guidance and advice on Association matters to the Board.
Supervise the operation of the Maintenance, Public Safety, and Administrative Departments along with other functions; Manage performance and development of staff.
Determine capital improvement projects for Board approval; Provide oversight for all major projects.
Prepare annual APO, Water Plant, and Wastewater Treatment Plant budgets for Board review and adoption.
Work with lake management partners to monitor and ensure the health of the lake.
Develop, recommend, and implement (upon Board approval) policies and procedures for all aspects of APO management.
Make key operational decisions, such as when to deploy lake level management tools.
Manage key communications to APO members.
Organize and participate in Board, committee and project team meetings.
Conduct bidding and contract for professional and maintenance services.
Prepare financial statements and reports, working with accountants.
Key Characteristics:
The person in this role must have a strategic perspective, while also managing the complex day- to-day operations of the association. This requires an agile professional with high intellectual and emotional intelligence, deep expertise in association management, and exceptional leadership skills. The person must also be skilled in public relations, contract negotiations and oversight, financial operations, and infrastructure operations and maintenance.
The ideal candidate will have a passion for the community association management profession, with experience shaping and enhancing community association operations. This person will understand and strive for superior service and exceptional standards of quality to deliver great member experiences.
The Association Manager will be an outgoing, genuine, and personable leader who will eagerly meet and work with APO members. They will have strong communication and facilitation skills, both in writing and as a public speaker. They will represent and promote the APO with the highest level of personal and professional conduct both within and outside of SHL.
This professional will inspire and develop department managers and staff members with proven leadership skills, utilizing team building, team member motivation, and professional training in pursuit of a collaborative and productive work environment.
Finally, the Association Manager will be an exceptional problem solver, approaching challenges with an interdependent mindset. That is, they will seek input and engagement from all key stakeholders, and collaboratively drive toward solutions.
Candidate Qualifications and Experience
Must have:
At least five years of association management experience.
Superior knowledge of best practices for a large-scale community association.
Successful oversight and implementation of budgets of $3MM or higher.
Experience managing staff members with varied skills and experience.
Experience engaging with governing / regulatory bodies (e.g., local municipalities, state environmental and dam safety agencies).
Experience contracting with and managing vendors and professional services providers (lake management, engineering, construction/maintenance, road maintenance, etc.).
Ideal, but not required:
Bachelor’s or associate’s degree with relevant coursework.
Certification as community association manager through the Community Association Institute.
Experience deploying new systems/technology/processes in a community association.
Experience with managing and maintaining infrastructure associated with a man-made lake / reservoir (dam, water plant, etc.).
Experience guiding an association through significant infrastructure improvements (e.g., roads, utilities, construction, and related administrative matters.
