Description

FirstService Residential is currently seeking a full time on-site Community Association Manager for a beautiful Active Adult Community located just outside Nashville, TN. This Community Manager will work closely with the board of directors, staff, committees and homeowners to collaborate on the goals of the community and enhanced lifestyle of the residents. The Ideal candidate for this role will have a strong background in managing large scale HOAs, project management, and team leadership.

Primary Responsibilities: Maintain the highest level of professionalism in the accomplishment of the Association management duties and in facilitating the business, community and governance of the association

Additional Responsibilities:

· Procurement of contract proposals, negotiations of bids to acceptance process, and oversee contractual work

· Maintain Association documents, records, minutes and filing system

· Prepare and distribute Association Board Packets, meeting notices, correspondence etc.

· Act as advisor/consultant to the Board of Directors and as liaison between the Board and owners

· Work with Client Accounting Manager to manage and oversee all accounting services including accounts receivable, accounts payable, member billings and financial reporting.

· Assist in creating appropriate community committees and provide liaison from Committees to the Board.

· Prepare weekly Manager's reports to keep the Board apprised of tasks accomplished.

· Schedule and direct security and/or controlled access staff on duty.

· Coordinate and cooperate with local law enforcement and emergency personnel.

· Retain on file appropriate drawings, surveys, as-built drawings and other records appropriate to the ongoing maintenance of the property and facilities.

· Maintain file of contracts and periodic review of performance inspection results.

· Manage projects according to approved specifications, bidding and acceptance procedures and maintain files accordingly.

· Provide periodic preventive and maintenance inspections of all common areas, amenities and equipment.

· Supervise and manage on-site office staff.

· Supervise and manage Architectural Review and code enforcement process.

· Schedule and direct janitorial and maintenance contractors.

· Prepare reports including monthly completed and outstanding work orders.

· The Community Association Manager is responsible to the Board of Directors for the implementing of the Association documentary controls and Rules and Regulations. Community Association Manager is expected to diplomatically and tactfully attempt to resolve any situations, which may involve violations of the documents, and to notify the Board of Directors of such occurrences.

· Maintain professional certification and education for the benefit of the community.

Requirements:

· Bachelor's degree and/or four (4) or more years' experience managing a large-scale community

· Excellent communication and human relations skills

· Public speaking skills

· Ability to organize complex issues and complete follow up tasks

· Ability to oversee contractors engaged in the improvement of the capital infrastructure (i.e. roads, buildings, etc.) to maintain serviceability and integrity of same

· Ability to negotiate on behalf of the community

· Expertise in the field of community association law, accounting and maintenance

· Familiarity with systems indigenous to the management of community associations

· Strong financial acumen dealing with financial statements

· Long term commitment desired

Travel

Work may involve some driving/traveling to various sites.
