General Manager
Description
Serves as chief operating officer of the Association: Manages all aspects of the country club and homeowner's association including their activities and the relationships between the Board of Directors, owners, members, guests, employees, community, government and industry. Coordinates and administers the Association and club's policies as defined by the Board of Directors. Develops operating policies and procedures and directs the work of all department managers. Implements and monitors the budget, monitors the quality of the club's and Association's products and services, and ensures maximum owner, member and guest satisfaction. Secures and protects the Associations assets, including facilities and equipment.
Requirements
Implements general policies established by the Board of Directors; directs their administration and execution. Plans, develops and approves specific operational policies, long range and annual plans, operating reports, forecasts, budgets, reserve study, programs, procedures and methods in concert with general policies. Develops, maintains and administers a sound organizational plan; initiates improvements as necessary. Coordinates the development of the club’s long range and annual (business) plans. Publishes a basic personnel policy; initiates and monitors policies relating to personnel actions and training and professional development programs. Works with Controller to assure that Human Resources and policies are carried out in individual cases and are updated as needed. Maintains membership with Club Managers Association of America and CACM or CAI. Attends conferences, workshops and meetings to keep abreast of current information and development in the field. Holds monthly staff safety meetings and maintains records to ensure compliance with all health and safety codes, and risk management directives. Coordinates development of operating and capital budgets according to the budget calendar; monitors monthly and other financial statements, takes effective corrective action as required. Attend Board of Directors meetings, prepares agenda, meeting minutes and subsequent response letters from Board of Directors. Manages records and files of each meeting. Attend Committee meetings and prepares agendas, meeting minutes and response letters. Provides, advises and recommends to the Board of Directors Association and club operations. Oversees internal auditing programs and work with Association's contracted Auditor to assure that records are accurately maintained and that established policies and practices are satisfactorily and consistently followed. Meets with Auditor to ensure that Association is incompliance with established GAAP and Corporate policies. Reviews and updates the employee handbook and policies as needed. Consistently assures that the club and Homeowner's Association is operated in accordance with all applicable local, state and federal laws. Ensures the highest standards for food, beverage and other club services. Analyzes financial statements, manages cash flow and establishes controls to safeguard funds. Reviews income and costs relative to goals; takes corrective action as necessary. Monitors budget versus actual expenditures and analyzes variances and their potential causes. Meets with appropriate Managers to recommend adjustments when needed. Monitors internal cost control procedures including maintaining monthly utility logs. Is the main interviewer when hiring department heads. Works with subordinate department heads to schedule, supervise and direct the work of all club employees. Meets with department heads on a regular basis to maintain proper communication about upcoming events. Oversees the preparation and design of the Association newsletter including writing or editing of articles as needed. Oversee implementation and preparation of outside advertising materials including newspapers, magazines and other printed pieces. Coordinates the development of the annual social calendar. Develops, maintains and administers The Oasis Country Club website. Including preparation and design of the articles and page information, pdf appropriate documents, General graphic art and photo work. Consideration for ways to lead members to website more often including the creation of different opt in groups, social information, new pages, or formats. Emailing owners pertinent information. Participates in outside activities that are judged appropriate and approved by the Board of Directors to enhance the prestige of the club; broadens the scope of the club's operation by fulfilling the public obligations of the club as a participating member of the community. Ensures that work areas are maintained in a safe, clean and organized manner and that a monthly inspection is performed. Manages all aspects of the homeowner's association common areas, i.e. pool areas, common areas, security and maintenance. Receives, investigates and acts upon complaints from owners, guests and employees. Assists with owner’s inquiries and provides information about the association. Oversees onsite Architectural/Landscape inspections and follow up. Gather proposals/bids for work located in common areas. Supervises Administration, Landscape and Maintenance personnel and oversees that all work is completed in a timely manner. Reconstruction and new construction coordination. 24- hour on call services for homeowner, common area or clubhouse emergencies. Prepare the annual reserve study. Club/Food and Beverage experience a plus.
